What are certificates?

The certificate feature in Worknice is a place where you can collect, manage, and analyse important employee compliance requirements of people in the business. This includes Visa’s, licences, security checks, ID’s, qualifications and more.

Why are certificates so powerful?

One of the cornerstones of Worknice is the ability to streamline all your HR processes and interactions in the one platform. In particular, helping HR managers take control of the employee database to ensure ongoing compliance.

With the certificates feature, you can manage when employee visas, licences and qualifications are about to expire, or run a report to see the expiration date of all certifications across all employees.

We’ve worked hard to add powerful features into our certificate technology.

So we got to work, and nailed it! Here are the key features that make collecting and managing important compliance information streamlined and easy…

Key features of the Worknice ‘Certificate’ technology

01. Create – Flexibility through configuration

Configure your fields and deployment to collect and track what you need.

02. Collect – Empower employees to enter data securely

Self-service employee data entry without the worry! Reduce HR admin by allowing employees to manage their own compliance documentation with a modern and simple interface.

03. Manage – Complete clarity when tracking compliance

Keep your data structured, up to date and your business compliant.

01. Create – flexibility through configuration

Configure your fields and deployment to collect and track whatever you want.

We know every company is unique. So when it comes to managing ID’s, certifications, qualifications, licences, visa’s, etc, flexibility is the name of the game.

With Worknice, you can already configure your employee database to collect and track the information you need—and certificates are no different. Instead of keeping these extra details on a separate spreadsheet, you can store them alongside other employee data you’re already collecting. In one database, you’ll have all the information you need to keep your organisation running smoothly.

How do we achieve flexibility?

Well, it’s a pretty simple process to configure your Worknice account.

1 – Admins can create the certificate templates that they need to collect – No more, no less.

2 – These certificate templates have fields you can choose to hide, make optional, or make required

3 – Having created your unique templates, this allows you to request these certificates to new or existing employees with the click of a button, saving time and ensuring consistency across the business.

02. Collect – empower employees to enter data themselves

Self-service employee data entry without the worry.

As an HR professional, you know employee self-service is far more efficient than doing data entry yourself. But you also need to be able to control who can access sensitive employee information. Custom access levels in Worknice enable you to give each employee access to edit their own personal information while simultaneously limiting their access to sensitive company data. This capability alone removes a massive time and cost burden, all while preserving the security of your data.

Instantly intuitive to use

Worknice always keeps user experience top of mind. We have added some great features to make submitting certificates super easy to do. Here are a few

One central inbox – employees see everything they need to do in Worknice from a single inbox – submitting certificates yes – but everything else is here too making it incredibly easy to find. Click on the inbox, and any actions that need to be taken are there at a glance. Simply click on the action and it links directly to the certificate.

User instructions – when creating a certificate template, the admin has the opportunity to explain how to submit the certificate information required. Think of it like ‘just in time’ procedures! You can link to external website or a more detailed procedure within Worknice too.

Manage your employees all in one place

Control the chaos! Manage all of your sensitive employee records in one secure scalable HR platform. Stay compliant and keep your team in sync with a suite of HR tools at your disposal.

03. Manage – complete clarity when tracking employee compliance

Keep your data structured, up to date and your business compliant.

We are to meet an HR manager who has the time to manually manage employee records. That’s where we come in – to help you structure your data in a way that makes it simple to manage moving forward.

Certificate status tracking: Worknice is exceptional at structuring data and tracking stages in a certificate lifecycle. For example, at a glance you can see where a certificate is in its lifecycle. Has it been submitted by a person, has it been verified as being correct, or is it nearing expiry?

Verification and rejection: Reduce risk of non compliance with the simple ‘Verify or Reject’ tool. By verifying a certificate, Worknice allows you to manage the when important licences, Visas, qualifications, etc are active, expiring and more.
